Setup checklist

A new Fiscal company comes with a chart of accounts, voucher types and default settings. Work through this list, in this order, before you enter your first document.

Most of these settings are in the Settings window (the gear icon in the top bar). You need a user group with the rights for each screen. The master user has all rights.

1. Your company

  1. Company profile: check the address, the country and the base currency, and upload your logo for printed documents.
  2. Currencies: add the other currencies you buy or sell in, if any.
  3. Countries, regions and cities: add the regions and cities you need for branches and customers.

2. Branches and warehouses

  1. Branches: one branch for each location that needs its own documents and figures.
  2. Warehouses: at least one warehouse in each branch that keeps stock.

3. Taxes, payments and terms

  1. Tax templates (VAT): check the VAT rates and the accounts they post to.
  2. Payment modes: cash, card, bank transfer and so on, each linked to the account the money goes to.
  3. Payment terms: for example Net 30 or End of month, used to calculate due dates.

4. How Fiscal should work

  1. Preferences: the default accounts, decimal places, stock rules (negative stock, batches), costing method and what happens when a document is cancelled. Decide these before you enter documents.
  2. Voucher types and numbering: the number format of each kind of document, for example INV-26-00001.
  3. Print templates and Email setup and templates: how documents look on paper and how they are emailed.
  4. E-invoicing (ZATCA): for companies in Saudi Arabia, check the ZATCA setting.

5. People and access

  1. User groups and rights: one group per job (for example Sales, Store, Accounts) with the rights that job needs.
  2. Users: add each person, put them in a group and post them so they can sign in.
  3. Branch and warehouse access: limit each user to the branches and warehouses they work in.
  4. Employees and projects: salesmen, drivers and projects, if you track them.

6. Master data and opening balances

  1. Chart of accounts: add the bank, cash and other accounts specific to your business.
  2. Item categories, Units and Price lists, then your Items.
  3. Customers, Vendors and, if you need them, Client groups.
  4. Opening balances: account balances, customer and vendor balances, and opening stock, all dated the day before you start.

Testing first? You can enter some sample documents to try things out. When you are ready to go live, Settings›General›Reset All Transactions deletes every document and all stock and accounting history, and keeps your setup and master data (items, customers, vendors, accounts). You confirm with your password and by typing RESET ALL DATA. This can't be undone, so use it only before you start entering real documents.
