POS setup
POS Setup holds the rules every terminal follows. Set it up once, before the first terminal goes live.
Open Point of Sale›POS Setup. Menu items and combos are created in Inventory›Items; screen menus, terminals and staff have their own pages.
Settings
| Setting | What it does |
|---|---|
| Walk-in customer | The customer used on every POS bill unless a customer is picked. Delivery always needs a real customer. |
| Accept tips, Tips payable account | Lets cashiers add a tip to a payment. Tips are owed to staff, so they go to a liability account, never to income. |
| Default terminal cash account | The cash account of a terminal that has none of its own. |
| Main cash / safe account | Where the counted cash moves when a shift is closed. |
| Cash difference account, Variance needing manager PIN | Where a shortage or overage at shift close is posted, and from what amount a manager must approve it. |
| Business day starts at (hour) | Sales before this hour belong to the previous business day, for places open after midnight. |
| Round cash totals, Rounding step | Rounds cash bills, for example to the nearest 0.25. The rounding is posted to the round-off account. |
| Wrong PIN attempts before lock, Lock for (minutes) | Protects staff PINs from guessing. |
POS Groups
Groups such as Hot Beverages, Grill, Bakery or Desserts. Each item sold at the POS can belong to one group. The group decides which kitchen station prints its ticket (see POS printing) and which preset discounts apply to it.
Modifier Groups
Choices offered with an item, for example Milk type:
- Set the Min picks and Max picks (min 0 makes it optional).
- Add Options: menu items (for example Extra Shot, Oat Milk) at their own price or a custom price, or plain notes (No sugar). Mark one as the default.
- An option can Replace an ingredient: Oat Milk replaces Milk, so the milk is taken out of the recipe and the oat milk's own recipe is used instead.
Then offer the groups on the menu item's portions (see Menu items, combos and screen menus).
Payment Types
For each way customers pay: a Name, the Type (Cash, Card or Wallet / Transfer), the Default account it posts to (for card and wallet types), the sort order, and whether it Opens cash drawer.
Discounts
Preset discounts staff can pick, for example Staff 20% or Happy hour:
- Percent or Fixed amount, on The whole bill, Selected items or Selected POS Groups.
- Needs a manager's PIN, to control who may give it.
- When it can be used: valid from and to dates, from and to times, and which terminals.
Reasons
The reasons staff choose from for voids, refunds, and cash in and out, in English and the regional language. Keeping the list short makes the reports useful.
