Expenses
An expense records money spent and paid at once, without a vendor bill to pay later: fuel, office supplies, a taxi, a small repair. Enter one or a whole batch at a time.
Open Financial›Expenses, or use + › Expense.
Enter expenses
- Click New. Choose the Branch and the currency.
- For each expense under Expense Lines, enter the Date, the Expense Account (what it was for), the account it was Paid From (cash or bank), the Amount and the Tax. The total including tax is shown.
- Add the Bill / receipt # and a note.
- Click Add Line for the next one, or Duplicate line to copy a similar one.
- Check the Total to Post and post. Each line becomes its own expense document.
Enter the VAT on the expense when the receipt is a tax invoice from a VAT-registered supplier. Its input VAT is then reclaimable in your tax report.
Edit an expense
Select it in the center and click Edit. The edit page also lets you:
- name the Vendor it was bought from, for your records,
- tick Billable and choose the customer under Bill To Customer, when you will charge this cost on to a customer (it is marked Billable in the list),
- attach the receipt.
Use Memorize on the form for expenses that repeat.
Expense or bill?
- Expense: paid now, the supplier doesn't need an account with you.
- Bill: you will pay later, or you want the vendor's balance and statement (see Bills).
