Estimates
An estimate is a quotation: the items, prices and VAT you offer a customer. It changes nothing in stock or in the accounts until you convert it.
Open Sales›Estimates, or use + › Estimate in the top bar.
Create an estimate
- Click New and choose the customer.
- Check the Voucher Date and set an Expiry Date: how long the offer is valid.
- Add a Reference # if the customer gave you one, for example their request number.
- Add the lines (see Entering line items).
- Click Save, or Save as Draft to finish it later.
Send it
Select the estimate and click Print, or Send Email to email it as a PDF (see Send a document by email).
Track the customer's answer
Set the estimate's status in the center as it progresses:
- Sent: the customer has it.
- Accepted: the customer agreed. You can now convert it.
- Declined: the customer said no. Keep it for your records.
Convert it
When the estimate is Accepted, click Convert and choose:
- Convert to Sales Order, if you will deliver later or in parts (see Sales orders), or
- Convert to Invoice, to invoice it straight away (see Invoices).
The new document opens with the customer and lines copied. Check it, change what is needed, and save.
