Purchase orders
A purchase order is what you ask a vendor to supply. It doesn't change stock or the accounts. You then receive and bill it, at once or in parts.
Open Purchases›Purchase Orders, or use + › Purchase Order in the top bar.
Create a purchase order
- Click New and choose the vendor. Their payment term is filled in.
- Set the PO Date and the Expected Delivery Date, and the vendor's quotation number in Reference # if you have one.
- Choose the branch and warehouse the goods are for, and add the lines (see Entering line items).
- Click Save & Issue, or Save as Draft.
- Click Print or Send Email to send it to the vendor.
Receive and bill it
Select the order and click Convert:
- Convert to Goods Receipt when the goods arrive before the bill (see Goods receipts), or
- Convert to Bill when the goods and the bill arrive together (see Bills).
Only the quantities not yet received or billed are copied. Lower them to record a part delivery, and convert again for the rest.
Follow the order
The center shows how much of the order is Fulfilled, and the Received, Billed and Fulfillment tabs: per line the Ordered Qty, what was Received (via GR), what was Billed Directly, the Total Committed and what is Remaining. Once a line's committed quantity reaches the ordered quantity, it can't be received or billed again.
