Sales orders
A sales order records what a customer has ordered. You then deliver and invoice it, at once or in parts, and the order shows what is still outstanding.
Open Sales›Sales Orders.
Create a sales order
- Click New, or convert an accepted estimate.
- Choose the customer, and set the Voucher Date and the Expected Delivery Date.
- Enter the customer's order number in Reference # (their LPO or PO number).
- Add the lines (see Entering line items) and click Save.
A sales order doesn't take anything out of stock or post to the accounts.
Deliver and invoice
Select the order and click:
- Convert to Delivery Note when goods leave before the invoice (see Delivery notes), or
- Convert to Invoice to deliver and invoice together (see Invoices).
Only the quantities still outstanding are copied. Reduce them on the new document to deliver or invoice part of the order. Repeat later for the rest.
Follow the order
The center shows, for the selected order:
- Delivered: the delivery notes against the order, per item.
- Invoiced: the invoices raised against it.
- Fulfillment: per line, the Ordered Qty, what was Delivered (via DN), what was Invoiced Directly, the Total Committed and what is Remaining.
Total Committed is the quantity already claimed by delivery notes and direct invoices. Once it reaches the ordered quantity, no more delivery notes or direct invoices can be created for that line.
The order's status moves from Open to Partially Delivered or Partially Invoiced, and to Delivered or Invoiced when everything is done.
