Frequently asked questions
Quick answers to the questions we are asked most. Each one links to the page with the full explanation.
Signing in and access
A new colleague can't sign in. Why?
After saving a new user, an administrator must click Post on them. Until then, sign-in fails with Invalid email or password. See Let the user sign in.
I forgot my password.
Ask your Fiscal administrator to set a new one on your user, save it and post it again. See Change a user's password.
Why was I signed out?
After about 30 minutes without activity, your session ends. Save your work before leaving your desk. See Staying signed in.
A screen says Insufficient Permissions.
Your user group doesn't have the right for that screen. Ask your administrator. See User groups and rights.
I can't see a branch or a warehouse.
You don't have access to it. See Branch and warehouse access.
Point of Sale or Fixed Assets is missing from the menu.
They are part of some subscription plans. Contact Exler IT Hub to add them. The same applies to more users or branches than your plan allows.
Documents
Why is Edit or Cancel switched off on a document?
Usually because the books are closed for its date (see Closing the books). Under ZATCA Phase 2, an invoice ZATCA has accepted can't be edited or cancelled either: issue a credit note.
Why can't I cancel an invoice?
It has payments, post-dated cheques or credit notes against it. Cancel those first. See Cancel an invoice.
Should I cancel the invoice or issue a credit note?
Cancel an invoice that should never have existed (wrong customer, duplicate). Issue a credit note when goods come back or part of a correct invoice is reduced. See Credit notes.
A draft didn't change my stock or accounts.
That is right: drafts post nothing. Post the document when it is final. See Draft or posted.
Stock
Fiscal says there isn't enough stock.
The warehouse has less than the document takes out. Check the warehouse and the batch, receive the goods first, or turn on Allow Negative Stock if your business really needs it. See Not enough stock.
Transferred goods aren't in the other warehouse.
A transfer arrives only when the receiving warehouse accepts it. See Accept stock.
The stock value doesn't match the inventory account.
Run the Stock Value vs GL report, then see Inventory costing.
Money
Where does the money from cash invoices go?
To Undeposited Funds. When you take it to the bank, record a bank deposit.
A customer paid by a cheque dated next month.
Record it as a PDC receipt, and clear it when the bank pays it.
A customer paid too much.
Keep the excess as their credit, or post it as income. See Overpayments.
VAT
How do I prepare my VAT return?
Run the VAT Return report for the period, check it against the tax accounts, file it, then close the books. See Tax reports and the VAT return.
What is the difference between zero-rated and exempt in Fiscal?
Zero-rated sales use a 0% tax template; exempt and out-of-scope sales use a template of type NoTax. They are reported in different boxes. See Tax templates (VAT).
Does Fiscal print the ZATCA QR code?
Yes, on every invoice and credit note once e-invoicing is set up. See E-invoicing (ZATCA).
Does Fiscal support ZATCA Phase 2?
Yes. Business (B2B) invoices are cleared by ZATCA and simplified (B2C) ones are reported, through the Exler EGS gateway. Exler IT Hub support onboards your device. See Set up Phase 2.
Why can't I print a B2B invoice?
Under Phase 2, a B2B invoice is a valid tax invoice only once ZATCA has cleared it. Check its state in the invoice center and resend it if needed. See What happens when you post.
Getting started
Can I import my data?
Yes, from Excel: customers, vendors, items, opening balances, bills of materials and the chart of accounts.
I entered test data. Can I start again?
Yes, before you go live: Reset All Transactions deletes every document and keeps your setup and master data. See Setup checklist.
