Item categories

Categories group your items, for example Beverages, Spare parts or Services. Each category also holds the defaults that new items in it start with.

Open Settings›Inventory›Category.

Add a category

  1. Click New and enter the Category Name and a Description.
  2. Under Account Mapping, choose the accounts for items in this category: Inventory Asset Account, Income Account and Cost of Goods Sold Account, and for assemblies the Production Account and Consumption Account.
  3. For a category of fixed asset items, fill in the Fixed Asset Accounts: the Expense Account and the Accumulated Depreciation Account.
  4. Under Defaults, choose the Default Sales Tax, Default Purchase Tax and Default Unit.
  5. Save.

When you choose this category on a new item, its accounts, taxes and base unit are filled in for you. If the category has no account, the default account is used. You can still change them on the item.

Changing a category's accounts or defaults only affects items you create or re-categorise afterwards. Existing items keep the accounts they have.

Sub categories

Sub categories split a category further, for example Beverages into Juices, Soft drinks and Water. They are optional, and are used to group and filter items in lists and reports.

  1. Save the category first, then find the Sub Categories panel below it.
  2. Enter the Sub category name and an optional regional name, and click Add.
  3. Click Edit on a sub category to rename it. The panel also shows the items that use it.

On an item, the Sub Category list only shows the sub categories of the item's category.
