Bills
A bill is the vendor's invoice to you. Posting it records what you owe, the input VAT you can reclaim, and the goods or expenses you bought.
Open Purchases›Bills, or click New Bill on the dashboard.
Enter a bill
- Click New, or convert a purchase order or a goods receipt.
- Choose the vendor. Their currency and payment term are filled in, and the Due Date is worked out.
- Enter the Bill Date as printed on the vendor's invoice, and the vendor's own invoice number in Vendor Invoice #.
- Choose the branch and warehouse, and the project if you use them.
- Add the lines exactly as on the vendor's invoice (see Entering line items). Enter final amount helps when the vendor's invoice only shows totals including VAT.
- Click Save & Post, or Save as Draft.
Check that the VAT on your bill matches the vendor's invoice to the halala or fils. Your input VAT in the tax report comes from these bills.
What the lines post to
- Inventory items: the stock goes into the warehouse, valued at the bill's cost, and the inventory account goes up. If the goods were already received with a goods receipt, the bill doesn't add the stock again: it clears Goods Received Not Invoiced, and only posts any price difference.
- Services: the item's expense account, for example rent, freight or repairs.
- Fixed asset items: the asset account of the item's asset category.
- VAT: the tax template's receivable (input VAT) account.
- Total: Accounts Payable, until the bill is paid.
After posting
Select the bill in the center:
- Make Payment, while the bill has a balance due (see Vendor payments). The Payments tab shows the Total Paid and the Balance Due.
- Create Credit for goods you return to the vendor (see Vendor credits).
- Landed Cost: add freight, customs and other costs to this bill's goods (see Landed costs).
- Transaction Journal, Attachments (attach the scanned vendor invoice) and Activity Log.
- Memorize on the form, for bills that repeat every month, such as rent.
The Overdue filter shows the bills past their due date, also listed on the The dashboard.
