Stock counts

A stock count compares what is really on the shelves with what Fiscal says. Print a sheet, count, enter the quantities, and post the differences as one inventory adjustment.

Open Inventory›Stock Counts. The list shows each count with its warehouse, the date of the stock it was printed for, how much was counted, its status (Counting, Posted or Cancelled) and the adjustment it posted.

1. Start the count

  1. Click New Count and choose the warehouse.
  2. Choose the Categories to count, or all, and how to Sort by: Rack position (easiest for walking the shelves), category, item code or item name.
  3. Leave Show system quantity off for a blind count, so counters write what they see. Tick Include items with no stock in this warehouse to catch goods nobody recorded.
  4. Click Start Count & Print. (Print alone only prints a sheet, without saving a count.)

The sheet lists every active stock item of the warehouse in its base unit, with a box to write the counted quantity. Batch items get one line per batch.

2. Enter the counted quantities

  1. Open the count from the list.
  2. Type each counted quantity. Enter moves to the next line. Leave a box empty if the item wasn't counted.
  3. Or click Excel to download the lines, fill in the counts, and Import Excel.
  4. Found something that isn't on the sheet? Click Add Line. For a new batch, enter the maker's batch number and expiry date.
  5. Use the filters (Not counted, Counted with a difference) and Show system qty to review. Add remarks where useful.
  6. Click Save. You can come back and continue later.

3. Post the differences

  1. Click Post….
  2. Choose the Adjustment date.
  3. Decide what to compare against. With Adjust against current stock off, differences are worked out from the stock when the sheet was printed. That is right when goods moved while you were counting. On, against the stock now.
  4. Review the summary (lines over, short, not counted, and moved since printing) and confirm.

Fiscal posts one inventory adjustment for all the differences. Stock that comes in is valued at the current average cost; stock that goes out by the item's costing method. The count then shows Posted as that adjustment.

Cancel Count drops a count you don't want to post, with a reason.
