Paying salaries, payslips and WPS files
Once a payroll is posted, pay the salaries from the bank or cash, print the payslips, and make the file your bank needs.
Pay the salaries
- Open the posted payroll and click Pay Salaries.
- Enter the Payment Date, choose the bank or cash account it is Paid From, and a Reference such as the bank transfer number.
- Choose who is in this payment and how much: everyone, or for example only the employees paid by bank, with cash employees paid separately. Each employee shows what is still to pay.
- Click Pay.
A salary payment posts Salaries Payable against the account paid from. The payroll's Salary Payments list shows each payment, and Paid and Still to pay at the top keep count. A payment can be cancelled with a reason, which reverses its journal.
Payslips
Under Print and Files, click Print payslips for every employee of the payroll, or open an employee and click Print Payslip. Payslips use the Payslip (bilingual) print template, in English and Arabic, which you can change in Print templates.
Bank files
- UAE WPS file: the Salary Information File (SIF) for the Wage Protection System, with one line per employee paid by bank or salary card and the control line, last or first as your bank asks. It needs the MOHRE establishment ID and the employer's routing code in the payroll settings. Employees without a labour card number, routing code or IBAN are left out and named, so you can fix their HR file.
- Bank salary sheet (Excel): for a Saudi bank or Mudad upload, with each employee's ID, IBAN, basic salary, housing, other earnings, deductions and net pay.
Both are available once the payroll is approved.
Banks differ in small details of the WPS file. Check the first file with your bank before relying on it.
