Building assemblies and packing

Building an assembly records a production run: the raw materials leave stock, and the finished item comes in at their cost. Items that need packing are packed afterwards.

Open Inventory›Assemblies, or use + › Build Assembly.

Build an assembly

  1. Click New and choose the branch and the warehouse where the materials are and the product goes.
  2. Set the Date and the Production Staff.
  3. Choose the Item to Produce. Its active production BOM is selected; if it has several, choose one. (If there is none, create it first: see Bills of materials.)
  4. Enter the Qty: how many runs of the BOM. The Total Output is shown.
  5. Under Materials Consumed, the BOM Qty of each material is filled in. Enter the Actual Qty if you really used more or less (set it to zero to leave a material out), choose the batches, and add any extra material with Add Material.
  6. Save, and confirm. Or Save as draft.

An assembly can also start from an assembly request: the kitchen converts the request, and the form opens already filled in.

The materials leave stock, and the finished item comes in, costed at what the materials cost. Only drafts can be edited. A posted assembly can only be cancelled, which reverses it.

If a material has no cost yet (for example it was never purchased), Fiscal stops you, unless Allow Posting Materials With Zero Cost is on in Preferences.

Packing

When the item has Requires Packing on (see Other item types), what you produce is Packing In Progress: it is in stock but can't be sold, and can only be moved to a packing warehouse. Pack it on the Packing screen of the kitchen screens:

  1. Open Packing. The To Pack tab lists the batches waiting in your warehouse, with what remains.
  2. Select a batch. Check its expiry date (you can edit it; the change applies to the whole batch).
  3. The item's packaging BOM shows the packing materials for the quantity. Whole-unit materials are rounded down, and the fraction is carried to the next packing of the batch.
  4. Enter the Qty to Pack Now and the Packing Staff, and confirm.

The packed quantity becomes normal stock, ready to sell or transfer, and the packing materials leave stock. The Packed tab lists what was packed in a period, and can be printed.

The Packing Center

Inventory›Packing Center is where the office reviews packing. It has two lists:

  • Packings: every packing of your branches, newest first, with its batch, quantity and packing staff. Search by number, item, batch, BOM or staff, and filter by status (Packed or Cancelled).
  • Waiting to pack: produced batches that are still Packing in progress in your warehouses, with their expiry date, the quantity waiting, and how many days they have waited. Open Packing screen opens the kitchen Packing screen to pack them.

Select a packing to see it:

  • Details: the packed quantity, batch, expiry, date, warehouse and staff, the packaging BOM used with the materials needed and consumed and their cost, the packaging cost per unit and the packed stock value.
  • Stock Effect: the batch moving from Packing in progress to Available, and the packaging leaving stock.
  • Account Posting: the journal: the packaging's value moves into the packed item's inventory account.
  • Activity Log: who did what, and when.

Cancel Packing reverses a packing that was wrong: the batch goes back to Waiting to pack, the packaging comes back into stock, and the journal is reversed. It is refused when the packed stock has already been sold or moved. You need the View right on Packing Record to open the Packing Center, and the Delete right to cancel.
